Workfront
Creative team looking for an easy to use, visual Project Management tool that enabled project tracking and reporting.
As the Workfront SME, I established processes around standard operating procedures, created training guides, implemented templatize timelines based on SLAs, and instituted Workfront as the official creative request intake tool.
Jira
To integrate with cross-functional digital teams, Jira was identified as a key tool to allow programmatic visibility between teams.
Working with our IT partners, I configured workflow, field, and screen scheme to fit the nature of Brand and Creative work. Created programs, dashboards, and automations making processes streamlined and consistent.
Mural
Scrum/agile teams needed a collaborative tool that leaned into our creative instincts.
Utilizing Mural, teams were able to hold all Scrum ceremonies in one collaborative space that allowed for instantaneous results. Mural was established as a key tool to use and create a documented history of work in a creative space.
Smartsheet
To help us to integrate seamlessly with our business partners and clients, I built a custom PMO within Smartsheet to encompass intake through delivery on projects, programs, and company-wide initiatives.
Using the Smartsheet-Jira integration the PMO team is able to easily plan, setup, and monitor work across all cross-functional teams while allowing the creative teams to execute their work within Jira.
Bynder
Bynder is a multi-faceted platform tool that we have used heavily as our Digital Asset Management (DAM) tool for media files. In the last couple years, it has expanded to help the team share approved content with agencies and regional partners, host internally and externally facing microsites, as well as a robust metric/data tool.
The newest AI features have also made great strides in helping the team automate a lot of the manually tagging and relationship features.
Resource and Capacity Planning
Activity Timeline
Activity Timeline is a Jira integrated app that is used for resource management, capacity planning, time tracking, and forecasting all work within Jira projects.
As the Creative Operations Manager, I needed a way to plan project work at the quarterly level in order to facilitate strategic conversations around resources vs. capacity. Because Activity Timeline is already integrated within Jira, I set up Jira automations calculating projected hours per issue allowing the tool to seamlessly compute availability of resources as the individual and team levels. Standing up this function has allowed the Creative Operations teams to properly and accurately forecast work and resources. Capacity planning is a key differentiator when it comes to efficiently managing programs for multiple clients and stakeholders.
